How far ahead to start your UCCS preceptor search
UCCS's 08/2026 practicum handbooks tell you to begin looking "at least 3 to 6 months before you plan to start your practicum course." Add the site sheet timing, a legal review that can run six to eight weeks or more, and a firm ban on hours before the semester opens, and the real start date for your search lands earlier than most students expect.

Three timing rules from UCCS's handbooks
UCCS publishes three timing signals, and each one pulls your planning earlier than the last.
- Search: start "at least 3 to 6 months before you plan to start your practicum course." The handbooks also tell students to look well in advance of the course, which makes six months the safer end of that range.
- Site sheet: send the Clinical Site Sheet to the Academic Services Professional for Graduate Nursing "earlier than the semester before your practicum experience starts, whenever possible."
- Agreement: a new Affiliation Agreement can take six to eight weeks or longer to clear legal review when legal issues arise, and now and then a site cannot be used at all.
The advice has shifted over time. The 2024 handbooks said to start at least one semester before the hours were needed. The 2026 wording gives a range in months instead, but pairs it with a site sheet request aimed at the term before your rotation or earlier. Follow the early end of both and you will rarely be caught short.
Why the first day of the semester sets the clock
Everything counts backward from the semester start because UCCS allows no clinical hours before a semester begins or during the break between semesters, citing professional liability and Workers' Compensation requirements. Hours also count only while you are registered for a clinical course in fall, spring or summer.
On top of that, hours cannot start while paperwork is in process. The contract and preceptor letter must both be signed, and the Academic Services Professional must email that you may begin. Every week the paperwork runs past the first day of term is a week of hours squeezed into a shorter span. The semester rules guide covers what happens to hours that spill over.
Treat the first day of term as a floor rather than a target. Aim to have the paperwork finished before it, so your first week of the semester is a week with patients.
A dated timeline for Spring and Summer 2027
The table applies UCCS's advice to the next two terms on the 2026-27 calendar. The dates in the last three columns are our arithmetic from UCCS's figures, not deadlines UCCS has published.

Read the columns as a sequence. By the six-month date you should be contacting preceptors, and by the three-month date you want a firm yes. The eight-week date is roughly the last point at which a brand-new agreement with legal questions has a fair chance to clear before the term opens. For the site sheet, the handbook's wording points to the term before: Fall 2026 for a Spring 2027 rotation, Spring 2027 for a Summer 2027 rotation.
Summer is the tight one. UCCS's summer semester runs eight weeks, so a 110-hour course works out to about 14 hours a week with little room for a late start. Later terms follow the same pattern; the UCCS academic calendar guide has the dates.
What stretches the timeline
Some rotations need more runway than the handbook minimum. Allow extra time when any of these apply:
- The site has never had a UCCS agreement, so it goes through a new legal review, which can end without a usable contract.
- You already have three new agreements in play that semester, the most UCCS allows outside Synthesis.
- The site runs student rotations through myClinicalExchange, which adds a UCCS request in that system and an account you pay for.
- Your compliance items in Medatrax are not current. UCCS expects them by its published due date each semester, and missing items keep you from starting; see immunizations and compliance.
- The rotation is split between two preceptors, which means two site sheets and possibly two agreements.
- The rotation is Synthesis.
NURS 6980carries 440 hours for Fall 2026 starts and later, or 360 for earlier cohorts, which exceeds the 330-hour ceiling on any one FNP or AGNP preceptor or site outside a major health system.
Plan two rotations at a time
Your first clinical course is NURS 6730 Advanced Health Assessment, with 45 hours in a primary care setting, and it goes through the same sheet and agreement steps as any rotation. After the MSN core come the primary care rotations, then Synthesis; your degree plan fixes the order and the term for each.
Because the lead time for one rotation overlaps the hours of the one before it, the practical habit is to search for your next rotation while you are working the current one. A preceptor who enjoys teaching you may take you again later in the program, within UCCS's limit on hours with a single preceptor, and that one conversation can save months. If the semester is already close
A late start still has options, only fewer of them. A site that already holds a UCCS agreement avoids the new-contract legal review, usually the longest wait in the process. Put any unusual question to the Graduate Clinical Practicum Coordinator early, so the answer arrives before it can become the delay.
If the course is weeks away and you have no preceptor, read need a preceptor fast. If a confirmed preceptor has withdrawn, UCCS's extra-agreement request and incomplete-grade rules come into play, and when a preceptor falls through explains both.
Run the numbers as well. If only part of the semester remains once a new site is cleared, work out how many hours a week the course then demands, and talk to lead faculty and the Graduate Clinical Practicum Coordinator before the gap grows.

Questions UCCS students ask
Is three months enough time to find a UCCS preceptor?
It is the short end of UCCS's own range, and it leaves little margin. If your site needs a new Affiliation Agreement, legal review alone can take six to eight weeks or more, which uses up much of a three-month window. Six months gives you time to find a preceptor, send the sheet and absorb a setback.
When does UCCS send out the Clinical Site Sheet?
At the start of each semester, by email to every clinical student, and UCCS asks you to use that semester's version rather than an older copy. Watch for it so the sheet for your next rotation can go in as early as UCCS allows, ideally before the term that comes ahead of the rotation.
Can I start clinical hours during the break before a semester?
No. UCCS allows no clinical hours before a semester begins or between semesters, and hours count only while you are registered for a clinical course in fall, spring or summer. Hours worked during a break go uncounted, however ready the site and preceptor may be.
Does a site that already works with UCCS shorten the wait?
It can. The six-to-eight-week figure describes establishing a new Affiliation Agreement, so a site already under contract with UCCS may not need that step. You still send a new Clinical Site Sheet for the semester, your preceptor still signs a letter, and you still wait for UCCS's email before starting hours.
Did UCCS change its advice on when to start looking?
Yes. The 2024 practicum handbooks said to begin at least one semester before the semester when the hours were needed. The 08/2026 handbooks say at least three to six months before the practicum course. Follow the handbook for your cohort, and treat the earlier of the two as your working target.
