myClinicalExchange in the UCCS clinical process
For UCCS graduate NP students, myClinicalExchange (mCE) comes into play only when a clinical site requires it. The Academic Services Professional spots that while processing your Clinical Site Sheet and submits the rotation request, and you register for and pay for your own account. For RN to BSN and campus BSN students, mCE is the main compliance platform.

One platform, two different jobs at UCCS
Which role mCE plays depends on your program. Graduate students keep their compliance records in Medatrax and meet mCE only at certain sites, while undergraduates use it from the start.

When a graduate site requires mCE
UCCS's handbooks do not name the sites that use mCE. The decision is made one rotation at a time, when your site sheet is processed.
- You send the Clinical Site SheetIt goes to the Academic Services Professional for Graduate Nursing, as early as you can manage. The site sheet guide covers what goes on it.
- UCCS checks the siteWhile processing the sheet, the Academic Services Professional decides whether that site needs mCE.
- UCCS submits the rotation requestIf it does, the same office enters the rotation request in mCE for you.
- You register and payYou create your own mCE account and cover its cost, then complete whatever the site asks for inside it.
- The agreement and letter are signedEvery rotation still needs a fully executed Affiliation Agreement and a signed preceptor agreement letter, mCE or not.
- You wait for "good to go"Hours begin only when the Academic Services Professional emails that they may. Hours done while paperwork is being processed do not count.
Paying for your mCE account
mCE is a student-paid account. The 08/2026 practicum handbooks say the student registers for it and pays for it, and the 2024 handbooks described the charge as an annual amount paid by the student. UCCS's current documents give no figure, so check the amount inside mCE when you register.
Plan for it next to the other screening costs you already carry. The CastleBranch background check and drug screen are also done at the student's expense, and graduate students upload those results to Medatrax themselves.
Because mCE depends on the site, you may use it for one rotation and not the next. Keep that in mind when you compare two possible sites for the same course: one of them may bring an extra account and extra onboarding steps.
How mCE sits beside Medatrax and CastleBranch
For graduate students, Medatrax is home base. Your RN license, BLS card, health insurance proof and immunizations go there by the published due date each semester, and so do your patient logs and every evaluation. See Medatrax logs and immunizations and compliance.
CastleBranch runs the background check and drug screen for all UCCS nursing students; the background check page explains the packages. mCE is a third layer that only some sites add.
Sites can also ask for more than UCCS does. The 2026 FNP/AGNP handbook tells students to follow each site's requirements, including extra immunizations such as COVID-19 that UCCS itself no longer lists. No UCCS source mentions Typhon, Exxat, ACEMAPP or Complio, so if a site names one of those, check with the Academic Services Professional before you register anywhere.
Where mCE fits in your start date
The mCE step happens inside the processing window, before the "good to go" email, and no clinical hours may be done while paperwork is still moving. A new agreement can already take several weeks, as the Affiliation Agreement guide explains, so your own mCE registration should never be the last item left.
The practical rule is simple: when UCCS tells you a site uses mCE, register the same week and finish the site's items quickly. Hours also count only inside a semester you are registered for, so a slow start can cost you weeks you cannot recover later in that term.
Register for mCE as soon as UCCS confirms the site uses it; hours cannot start until every piece of paperwork is complete.
RN to BSN and campus BSN: mCE from day one
For NURS 4450 Public Health Nursing, the RN to BSN enrollment checklist runs in order: prerequisites, the Handbook Attestation and Intent to Apply form, mCE registration and document upload, a Clinical Site Information Sheet naming the site and its mentor, the CastleBranch background check and drug screen, and a photo for an ID badge. The checklist deadlines are October 1 for spring, March 1 for summer and May 1 for fall; miss one and you will not receive a permission number to register. Traditional and Accelerated BSN students upload compliance documents to mCE by August 1 for fall, December 1 for spring and April 1 for the Accelerated summer start. UCCS warns that a missed first compliance deadline can cost a clinical placement.

We then line up every fact the site sheet asks for, such as the preceptor's license and certification, the practice's details, who signs contracts for it, and the precise hours you will work.
With the sheet complete, the Academic Services Professional can process it and submit any mCE request without chasing missing facts. UCCS gives the final approval; we hand the college a sheet it can act on at once. Does every UCCS NP student need myClinicalExchange?
No. For graduate NP students, mCE is needed only when the clinical site requires it, and the Academic Services Professional makes that call while processing your Clinical Site Sheet. Your standing compliance records, logs and evaluations live in Medatrax whether or not a site uses mCE.
Who pays for myClinicalExchange at UCCS?
You do. The 08/2026 practicum handbooks say the student registers for and pays for the mCE account, and the older 2024 handbooks described it as an annual charge to the student. UCCS does not print a current amount, so confirm it inside mCE when you register.
Do I submit my own rotation request in mCE?
Not as a graduate student. After processing your site sheet, the Academic Services Professional for Graduate Nursing submits the rotation request in mCE. Your part is to register for your account and complete whatever the site asks for there, quickly, so the agreement can move to the "good to go" email.
Is myClinicalExchange the same as Medatrax?
No. Medatrax is UCCS's graduate compliance and logging system: documents, patient logs with codes, and all evaluations. mCE is a separate platform that some clinical sites require on top of that. Undergraduates are the exception, since they use mCE as their main compliance platform.
When do RN to BSN students register for mCE?
As part of the NURS 4450 enrollment checklist, before the entry deadline for the term: October 1 for spring, March 1 for summer or May 1 for fall. mCE registration and document upload come after the attestation form and before the site information sheet and screening steps.
